Job Context SERVEST TECHNICAL, A DIVISION OF SERVEST HAS A VACANCY FOR PROJECT ADMINISTRATOR REPORTING TO THE PROJECTS DIRECTOR. MUST BE ABLE TO WORK UNDER TIGHT DEADLINES AND BE HIGHLY ORGANISED. MUST HAVE EXPERIENCE IN PROJECT JOB COSTING AND BE FAMILIAR WITH FINANCE AND PAYROLL ADMINISTRATION.
Minimum Requirements Matric Diploma in Project Management Highly organised Be able to work under tight deadlines. Be able to communicate effectively at all levels Written and spoken skills. Financial acumen Accpacc – specific experience in Project Job Costing would be advantageous Financial administration. Project coordination and administration. Sound understanding Work in Progress and Earned value management Attention to Detail. MS projects or similar project management tool Back to back Service provider and client administration Inventory administration Payroll administration
Duties & Responsibilities Responsible for reviewing the margins of contracts & projects before the monthly financial results are finalised Preparation of Profit & Loss statements for each contract & project Project set up, maintenance, reporting and closure Ensure that WIP schedule is regularly maintained Analyse all project costs, ensuring the correct allocation of such costs, taking action to correct any misallocated items Work with Project Managers in updating status on projects on a periodic basis Ensure a valid financial summary is available for projects within the division Review Cost/revenue variations on projects and report reasons for change Ensuring that Project billing is completed timeously and accurately Assist business when required to produce invoice schedules Work with the collection team to ensure invoices are paid within the agreed contract terms. Project Administrative planning Create new contracts and maintain existing contracts: should create and maintain project budgets and accounts in applicable accounting system. Keep track of contracts that are entered into related to the account, and ensure that orders are changed on the system as this takes place in real time. Oversee supplier expenses: needs to review and approve what suppliers intend to charge for goods or services related to a project. Against costing (budgets) Compile Project handover documentation and Training manuals as required per project/contractual specifications Project expense administration Allocation of costs onto correct projects via communication with project team. Processing requisitions against budgeted costs. Administrate and coordinate with project team to ensure correct time being billed for a project. Allocate overhead charges, and reviewing account totals related to project assets and expenses. Including stock and consumables. Monitor expenses:  ensure that expenses stay on track. Responsible for identifying variances and where projected costs and actual costs differ. Timeously submit variance reports to management. Project Invoicing Invoicing: The incumbent should create all project-related billings to customers. And submit approval timeously before submitting to client Accurately create invoices Timeously submit invoices and progression claims.
